Anyone have a good program or spreadsheet for ifta/irp miles?

    I am hoping to make things easier on myself this year when it comes time to report my mileage and fuel for IFTA and IRP. Can anyone recommend a program or have a good spreadsheet? I write down all my miles and fuel purchases on paper and then file the papers in a separate folder for each quarter and then have to sort through them all at reporting time. There has to be an easier way. I just did my 4Q IFTA and it sucked and I don't even drive a whole lot.

    I will not say I do this but if you don't have some one over your back watching you let's say a carrier then if you pay cash for your fuel all you have to do is show them what you want again I am not saying I do it because you can get I. Hot water you know what I mean

    I did the paper like you did. Separated it weekly.
    But make your own spread sheet.
    You can program any Excel spreadsheet to add up the totals real easy.
    Once you make the first template, your set.

    Why would you even want to manipulate it? I just honestly enter what I drive and it has never. Even a significant charge or refund either way. Maybe it is just where I drive but I either have to pay or get back less than $50 each time.

    I made a spreadsheet to do ifta but in the end it is really just redundant and opens up a great possibility to forget to add the info into it.. I mean, I write the miles on paper as I cross each state line and then at the end of the trip I calculate the miles for each state. From there I could either wait till I boot up my laptop next time and input that info in the spreadsheet or I could flip the page to Q4 2016 and there I have each state I travel through with space for miles (KY - 136+142+138+etc.) then at the end of the quarter just tally up each state. The next page is similar only for fuel for each state. I don't always have the chance to be on my laptop after every trip so I have caught myself forgetting to add the info into the spreadsheet or wondering if in fact I did add it last time lol. At the end of the quarter I rip out the miles and fuel pages and put them into the envelope marked for that quarter along with the fuel receipts.


    TLDR: rand mcnally tracks the state miles for each quarter

    I've also got a spread sheet that calculates the cost for each state, but don't even bother to use it...

    Yes, it's much much easier to just do it right than to fabricate and make sure everything adds up right.
    You also have the problem that you must have fuel receipts if audited.

    I write my mileage at every state line on a piece of paper, but that sucks when you're crossing the George Washington bridge and you're dealing with traffic, cross wind and trying to find the paper and use a pen. I found that it's always best to write down your mileage before you start, at each state line and each time you stop. For one reason or another you need those numbers and it's tough trying to remember them..

    Using a cell phone is dangerous and outlawed, but trying to find a piece of paper and pen, read your mileage, and write mileage down, while driving down the road is not only perfectly fine, it's mandatory.

    It would actually be safer to type your mileage down in the smart phone but that right there wil get you a ticket. You are better off getting caught with a beer in your hand than a cell phone. I don't know what the fine is for open container in a CMV but I bet it's less than a cell phone.

    It is funny you should say that because I was just thinking how dangerous it is to try and write down something while driving. I am not a fan of texting and driving by any means but it seems safer to do that than to write with a pen and paper while driving.
